Getting Started Questions

  • What do I have to install to start using Varsity Statbook? Varsity Statbook runs in your browser, which means you don't have to install anything. Varsity Statbook will run on any device that you can view websites through a browser - this means that it will work on a Windows PC, a Mac computer, an iPad, iPhone, Android device and Windows tablets. The only requirement is that your browser must either be Internet Explorer 10 or 11, Firefox, Google Chrome or Safari.
  • Do I need an internet connection at the game? No - you only need to open the GameTracker page while you have an active internet connection. Once your GameTracker is open, you no longer need a live internet connection - you can enter your entire game offline. We also recommend that you bookmark the Gametracker page for each game. This way, if you accidentally close your browser then you'll be able to re-open the page even when you're offline (and all of your stats will still be there!). Once you do have an active connection, your game stats can be sync'd up to our servers so that you can report on your data.
  • How do I enter my team's schedule? Follow these steps to set up your schedule:
    1. Log into the site and click the 'Manage Schedule' button at your Team Home page.
    2. On the Manage Schedule page, click the 'Add New Game' button and fill out the details for the game:
      1. Enter the Game Date and Game Start Time. The game time should be entered as military time, such as 19:00
      2. Select your opponent. You can search by team name if you'd like to narrow down the the schools displayed in the dropdown.
      3. Check the Home Game box if it's a home game for your school.
      4. Checking the Playoffs Game box will simply indicate on your Team Home page that the game is a playoff game.
      5. Check the Test Game box if you're using the game only for testing purposes. Stats from test games will not show up on the reports.
    Repeat these steps for each game of the season. Games can be edited or deleted at any time. Once you add a game, it will be displayed on your Team Home page, at which you can open the GameTracker.
  • How do I enter my roster? You have two options for entering your team roster: you can import your roster from a spreadsheet or you can enter the players manually. Here's how you do it:
    • Import with No Existing Roster:
      1. Log into the site and click the 'Manage Roster' button at your Team Home page.
      2. On the Manage Roster page, click the 'Import' button.
      3. In the Roster Import window, click the 'Download Import File Template' link. This will open a spreadsheet in the correct format for importing back into the system.
      4. Update the spreadsheet with your players. You don't need to fill out every column, such as height, weight, etc. If you fill out the 'Year' column with SR, JR, SO or FR then Varsity Statbook will be able to graduate your players the following year. Save your spreadsheet as a CSV file once you're done.
      5. At the Import Roster window, click the 'Browse' button and select the CSV file you just saved, then click the 'Import' button. The system will load your file and you should see your roster displayed now on the page.
    • Import with an Existing Roster:
      1. Log into the site and click the 'Manage Roster' button at your Team Home page.
      2. On the Manage Roster page, click the 'Export' button to export your current roster to a spreadsheet.
      3. Update the spreadsheet with any roster changes. Save your spreadsheet as a CSV file once you're done.
      4. On the Manage Roster page, click the 'Import' button.
      5. At the Import Roster window, click the 'Browse' button and select the CSV file you just saved, then click the 'Import' button. The system will load your file and you should see your roster displayed now on the page.
    • Manually Enter Players:
      1. Log into the site and click the 'Manage Roster' button at your Team Home page.
      2. On the Manage Roster page, click the 'Export' button to export your current roster to a spreadsheet.
      3. Update the spreadsheet with any roster changes. Save your spreadsheet as a CSV file once you're done.
      4. On the Manage Roster page, click the 'Import' button.
      5. At the Import Roster window, click the 'Browse' button and select the CSV file you just saved, then click the 'Import' button. The system will load your file and you should see your roster displayed now on the page.
  • Can I allow other people to access my team's account? Yes - you can grant access to other people to your team's Varsity Statbook account. To do this, go to the Team Settings page and click the 'Add Authorized User' button. Be sure to enter the same email address that the person will use when they log into Varsity Statbook. Once added, they'll be assigned to your team when they next log in, with the same access & permissions that the primary account owner has.
  • How many teams can I track with Varsity Statbook on my account? Each Varsity Statbook account can access only one team. However, you can set up several different squads under the same account. Therefore, a school can track their Varsity, JV and Freshman squads on the same subscription.
  • Does Varsity Statbook work with any other sports? Not yet, but soon. We'll be bringing the same great features to basketball, baseball and many other sports very soon, allowing you to track your games on any device with the easiest data entry and deepest stats.

Entering & Editing Stats

  • How do I enter stats when I’m offline? Stats can be entered in the GameTracker whether you're online or offline. However: be sure to open the GameTracker page while you still have an internet connection. You must have the page already open in order to enter stats offline, so open the GameTracker page while you're online and then leave that browser window open so that you can use it during the game. We also recommend that you bookmark the Gametracker page for each game. This way, if you accidentally close your browser then you'll be able to re-open the page even when you're offline (and all of your stats will still be there!).
  • How do my stats get sync'd? In the upper right-hand corner of the GameTracker page you'll see the Sync control panel. In this area you can turn auto-sync on or off. When auto-syncing is turned on, your stats will sync automatically after you confirm each play. If you turn it off, then it won't sync unless you click the green 'Sync Now' button. Some users may experience a slight delay with auto-syncing, so if that's the case just turn it off and sync manually. Please note that syncing will only work when you are online.

  • How do I sync stats after entering a game offline? If you are unable to sync stats during the game, then you can sync afterwards. The next time you log into Varsity Statbook from the same computer that you used to enter stats, you'll see a 'Sync' button displayed on your Team Home page next to that game. Click this button to sync the game data to our server.

  • Can I edit a play after I’ve entered it? Yes, you can edit a play at any time. In the GameTracker, find the play in the Play History area. You can click the Edit icon (the 'pencil' image) to display that play - you can then make any edits and click the Confirm button.

  • When I open the GameTracker on my iPad or tablet, why can't I see the buttons to start entering a play? Some tablet screens are too narrow to fit the entire width of the Varsity Statbook GameTracker page. If this is the case, you can hide the player stats on the side by clicking the 'arrow' tabs at the top of the player stats areas. The player stats can be unhidden at any time by clicking on the arrows again.

Reports & Exports

  • How do I access my team’s stats from a different computer? You can access your team data from any computer or device. Just go to the Varsity Statbook website and log in with the same email address you used when registering your team account. Please note that you must sync your stats from the computer/device used at the game before you can see those stats from other computers.
  • How do I export my game stats to HUDL? You can export your game stats to HUDL to merge the stats with your game video. Just follow these steps:
    1. Once your game stats are sync'd, you can export the data to HUDL by clicking the 'Tools' button on the Team Home page next to that game and then selecting the 'Export to HUDL' link (#1 below).


    2. This will open a file that has the game stats in the format needed by HUDL. Save this file on your computer as a .CSV file.
    3. Go to the HUDL website and log in with your team account.
    4. Once logged in, follow the steps outlines on the HUDL's website for importing a CSV or Excel file as detailed here: HUDL Import Instructions.

  • How do I export my game stats to MaxPreps?
    1. Once your game stats are sync'd, you can export the data to MaxPreps by clicking the 'Tools' button on the Team Home page next to that game and then selecting the 'Export to MaxPreps' link (#1 below).


    2. This will open a file that has the game stats in the format needed by MaxPreps. Save this file on your computer.
    3. Go to the MaxPreps website and log in with your team account.
    4. Once logged in, click on your account name (#2 below) and in the dropdown click on your team name (#3 below).


    5. This will open your team page. At your team page, mouse over the 'Scores/Stats' nav menu link and then click on the 'Enter/Edit Scores & Stats' link (#4 below).


    6. At the Game Stats page, click the Edit/Enter button for the desired game (#5 below).


    7. At the bottom of the resulting page click the 'Save & Import Stats' button (#6 below).


    8. At the Import Game Stats page, click the 'Choose File' button (#7 below) and select the file that you saved from Varsity Statbook in Step 2 above. Then click the 'Import' button (#8 below). You're finished!


Other

  • How does the roster graduation work? At the end of the school year (in late May), Varsity Statbook rolls over all rosters. All players who are marked as 'SR' will drop off of your roster. Players marked as 'JR' will carry over to the next season at the same position and same jersey number, and their year will be changed automatically to 'SR'. Same thing for Sophomores (SO) and Freshmen (FR), with each moving up a year. If you have players on your roster that don't have a year specified, they will remain on your roster at the same position & jersey number. After the rollover you can edit your roster to update players' height, weight and position, as well as add new players to the team.
  • Can I load a roster for my opponent? You can easily load a roster for the opposing team from MaxPreps if that team's roster is currently empty in Varsity Statbook. The steps to import an opponents roster are:
    1. At your team's Schedule page, click the 'Roster' button for the opponent that you want to import.


    2. At your opponent's Roster page, click the 'Import MaxPreps' button. Please note that this button is only available if your opponent's roster is currently empty.


    3. In the MaxPreps Import modal, click on the MaxPreps link.


    4. This will open MaxPreps in a new browser window/tab and pre-fill your opponent's school name in the search.


    5. Find the opponent in MaxPreps and click on the 'Roster' link in the left-hand nav menu to display the opponent's roster.


    6. Highlight and copy the entire URL for the MaxPreps roster page.


    7. Paste the MaxPreps roster URL into the Varsity Statbook MaxPreps Import modal and click the 'Import Players' button.


    8. Verify that the roster looks correct and click the 'Commit Data' button.
    After you load your opponent's roster, be sure to open the Gametracker for that game while you have an internet connection so that the opponent data is copied to your device.
